Buying a Lettings Portfolio? 4 Red Flags to look for in existing Check-In Reports

When taking over an existing lettings portfolio, you are inheriting more than just tenant contracts; you are taking on historical liability for every property. If you ever need to claim deposit funds or handle an adjudicator dispute, your success hinges entirely on the paper trail you inherit.

  • Low-Resolution, Undated Photos

Some fuzzy images of rooms included in the email will not help during the dispute. Adjudicators need good quality images with timestamps that depict the condition of the fixtures, appliances, and flooring prior to the start of tenancy. In case the seller cannot give a free check-in report with dated pictures, there is no basis for proving the damage caused by the tenants.

  • Vague Language and Generic Tick-Boxes

Any report which describes all the rooms as being “in good condition” without providing any further detail is virtually meaningless. Descriptive and objective language must be used to make reports useful, for instance, “small scuff marks on lower left skirting board” or “calcification on shower head.” Not mentioning metre readings or handing over important keys or checking safety labels means immediate legal problems.

  • Missing Digital Signatures

Your check-in form becomes meaningless without proof that your tenant actually saw and signed for it. Pay attention to the section where you have signatures. The lack of a digital or handwritten signature during your normal processing time may give your tenant an excuse regarding the pre-existing damages.

  • Inconsistent formatting across the Portfolio

If a portfolio has been managed by multiple agents using different formats, ranging from handwritten notes to loose PDFs, auditing your inherited risk becomes a nightmare. Standardised digital records make portfolio management seamless.
