The purpose of a schedule of condition is to establish an accurate record of the property's state, documenting any existing damages, wear and tear, or other noteworthy conditions. What Should A Schedule of Condition Include?

A comprehensive schedule of condition should include the following key elements:

  • Property Details: Begin the schedule of condition by providing basic information about the property, such as the address, type of property (house, flat, shared rooms if in multiple occupancy etc.), and any unique identifiers or distinguishing features.
  • Description of Rooms and Areas: Divide the property into separate sections or rooms and provide a detailed description of each area. This can include walls, floors, ceilings, windows, doors, fixtures, and fittings.
  • Condition Assessment: Record the condition of each element in the description, noting any existing damages, wear and tear, or defects. Be specific and objective in your observations, using clear language to describe the condition accurately.
  • Photographs or Visual Documentation: Include photographs, or documents that support the written description. Visual evidence enhances the clarity and accuracy of the schedule of condition, providing a clear record of the property's state.
  • List of Contents: If applicable, include an inventory list of any fittings, furnishings, appliances, or other items that are part of the property. Describe their condition and note any existing damage or defects.
  • Alarms: Note the presence of all smoke, carbon monoxide and heat alarms. Test all to ensure batteries are working.
  • Certificates and Documents: If copies of the PAT or Gas Safe certificates are available then it’s good to include them in a Documents section. Also location of the property manual where manuals for white goods are kept
  • Signatures and Dates: The schedule of conditions should be signed and dated by both the landlord/property manager and the tenant. This confirms that both parties agree to the documented condition of the property at the time of the document’s creation.
Remember that a schedule of condition should be objective, fair, and unbiased. It is not meant to exaggerate or downplay the property's condition but rather to accurately represent its state at a specific point in time. It serves as a reference document to compare the property's condition during or at the end of the tenancy or transaction. Include Terms and Conditions statement with a glossary of any terms or abbreviations used.
